Arlington, VA

This instrumental position provides administrative, secretarial and general clerical support to attorneys in ! the Legal Departments Arlington Office and/or other department professional staff as required.

This person will answer incoming calls and inquiries made to the Legal Office and promptly and accurately relay this information to appropriate attorney or staff.

Assists in Board report mailing, due diligence and other projects as required, and ensures that documents are properly gathered and executed, copies are made and distributed and organized files are maintained.

Assists in the Department's outside counsel management responsibilities including but not limited to helping ensure law firms' timely submission of monthly invoices, internal tracking of legal fees, updating and maintaining various outside counsel spreadsheets, ensuring timely processing of outside counsel invoices for payment, and other related duties as required.

Assists in the Department's updating, maintenance and tracking of litigation reports, including, but no limited to, ! adding new matters and transferring closed matters to the appr! opriate reports as well as updating status on monthly reports.

Assists in the preparations of contracts, lease agreements, correspondence, forms and other documents as directed. Proofreads all materials to ensure accuracy and completeness. Initiates other documents and correspondence as appropriate.

Communicates requests to, and coordinates responses from, corporate officers and assistants in connection with business transactions and regulatory filings.

Contributes to the achievement of established department goals and objectives and adheres to department policies, procedures, quality standards, and safety standards. Complies with governmental and accreditation regulations.

Maintains an accurate and well-organized filing system, including electronic files, to ensure timely retrieval of information.

Maintains calendar(s) for attorneys. Schedules conference calls, meeting, and training/educational sessions. When appropriate, arrang! es for refreshments and meeting facilities. Prepares meeting materials as directed.

Opens and routes incoming mail: distributes correspondence and other materials to department staff. Ensures that outgoing mail is accurately addressed and sent in a timely manner.

Orders supplies and maintains inventory in accordance with office needs. Acts as liaison with I.S. for computer maintenance.

Performs basic document review as required, tracks legal matters and maintains appropriate databases.

Performs other duties as assigned.

Prepares and processes check requests on various matters in a timely manner and obtains the proper approval, maintains records and forwards to the Central Business Office (CBO) for payment.

Reports attendance and leave for self and department staff to the timekeeper. Maintains or assists in the maintenance of the department's weekly calendar.

May be required to travel to various locations ! as needed. Reliable transportation may be required.

Require! ments include: Associates degree or equivalent formal business, secretarial, or related training. At least three years of progressively more responsible job-related experience which includes the use of personal computer word processing software. Advanced working knowledge of MicroSoft Word, Excel, Access and PowerPoint and other relevant software applications; spreadsheet development, updating and maintenance. Attention to detail, organizational skills, and strong customer service skills. Experience with budget and vendor invoice management and related data management preferred. Ability to work well in a busy office environment and to be proactive to address office matters within or otherwise related to the Legal Assistant position and its related duties.
