Weekend Operations Assistant

SUMMARY OF POSITION: The Weekend Operations Assistant for Harris Management Services Inc. is a new position, and will serve as a weekend point person for a portfolio of local businesses. The portfolio of businesses currently consists 3 convenience stores/gift shops, a very popular ice cream & sandwich shop, and 4 coffee shop cafes. This position reports into our Operation Manager.

The Weekend Operations Assistant Primary Duties will include:

  • Managing employee callouts for our businesses on the weekends
  • Watching sales and redirecting employees to busier locations or approving employees going home early when/if necessary
  • Reconciling transactions in Quickbooks Intuit (training provided)
  • Filing digital and physical paperwork
  • Processing Accounts Payable and Receivable for the prior week

The Weekend Operations Assistant Secondary Duties will include:

  • Serving as a backup employee in our stores if no other help is available and a store is store-staffed (taking orders, making food & drinks, scooping ice cream, etc).
  • Drafting and adjusting employee schedules
  • Processing employee payrolls when our Payroll Specialist is out
  • Auditing compliance paperwork
  • Placing some orders for stores
  • Meeting with vendors on occasion
  • Running urgent items to stores when/if necessary
  • Other special tasks/duties as assigned

WHAT YOU CAN EXPECT:

  • Mostly 8 hour shifts Saturday and Sunday from 6:00 am to 2:00 pm (may vary from time-to-time, with occasional 10 hour shifts possible/necessary)
  • Ability to work from home for some of those hours from time-to-time (if not filing physical paperwork or covering in a store)
  • Working with a wide variety of local, small businesses that are growing quickly, with potential opportunity for an expanded role in the future.
  • Working with a passionate team of people who are committed to ensuring the success of their businesses.
  • Working occasionally in our shops preparing & serving food, scooping ice cream, making drinks, cleaning/stocking, and/or ringing customers up.
  • Possibility to get more hours (if desired) with occasional weekday tasks and/or working in our other businesses.
  • Help to define the requirements for this new role for a young company as we grow and learn!

PHYSICAL REQUIREMENTS:

  • Must be 21+ (we sell alcohol at some locations and you may need to cover from time to time)
  • Ability to read, write, type, and communicate effectively with others
  • Standing for long periods of time (when/if covering in a shop)
  • Able to lift up to 50 pounds comfortably and correctly
  • Work with various cleaning products
  • Perform job at continuous high pace, under pressure, while maintaining quality & speed standards (when if/covering in a shop)
  • Drive for 1 up to hour each way when/if traveling to stores
  • Prepare and serve food on occasion

EXPERIENCE:

  • Quickbooks Transaction Categorization, AP/AR experience preferred
  • Food/Retail customer service preferred
  • Operations experience preferred
  • Administrative experience preferred

KNOWLEDGE, SKILLS, AND ABILITY:

  • Strong and friendly interpersonal skills
  • Ability to work with others as a team and also deliver on individual performance metrics
  • Ability to consistently meet performance standards
  • Ability to take initiative and solve problems independently
  • Possess or be able to obtain a WA State Food Handler's Permit within 7 days of employment
