Executive Administrative Assistant [United States]


 
Overview:
The Administrative Assistant will support an SVP and VP within the Strategy and Transformation function across various teams.
Responsibilities:

  • Maintain calendars and travel itineraries (when applicable) for two VP’s as well as provide secondary support for their teams
  • Manage communications through phone, email and mail
  • Manage, prepare and submit all expense reports in a proactive and timely fashion and ensure proper documentation
  • Manage all invoice payments in a timely manner
  • Schedule large and small team meetings (virtual and in-person)
  • Maintain organizational charts, phone lists, email distribution lists and other team information
  • Plan international/domestic travel (when applicable

Compensation and Benefits:

  • The expected Compensation range for this position is between $55,400 - $85,000.
  • Location confirmed job-related skills and experience will be considered in setting actual starting salary.
  • Paid time off subject to eligibility, including paid parental leave, vacation, sick, and bereavement.

Qualifications:
  • 6+ experience in an administrative position at an executive level
  • Advanced/Proficient Computer Skills (Outlook, Word, Power Point, Excel, Teams)
  • Ability to use SAP for invoicing
  • Systems capability and knowledge to handle large scale approval/permissions requests
  • Excellent written and oral communications skills
  • Ability to handle extremely sensitive and business confidential information
  • Ability to work independently and within a team
  • Proactive in anticipating needs, prioritizing and responding to them
  • Proactively work to organize, respond to needs and anticipate what is needed by the individuals for whom she/he supports
  • Flexible and able to work under pressure to include tight deadlines and multiple projects with strong organizational skills
  • Strong attention to detail
