Description
Summary:
Support the overall ! implementation process of expatriation, on assignment needs and repatriation activities for the companyâs international assignments program by directing and managing the day-to-day activities associated with the assignees.
Administer the group Foreign Service agreements and recommend possible changes to policy to enhance the competitive position and cost effectiveness of the policy.
Ensure adherence to quality standards and assist in designing upgrades to the policy in order to enhance the efficiency and quality of the process.
Responsibilities:
Facilitate and prepare paperwork for the initiation process by working closely with respective home country Human Resources personnel e.g. preparation of EPA, and all necessary authorizations, application of Totalization Certificates (for expats), and coordination of the look and see trip.
Work with third-party vendors with respect to destination services, house-hunting services, ship! ping, intercultural training and other services associated wit! h the relocation of assignees.
Review and confirm housing lease agreements with in-house legal department and arrange for payments for security deposits and rent.
Draft assignment provisions (for expatriates) and local agreements (for expatriates).
Review details of Foreign Service agreements with assignees.
Develop and conduct international orientation programs for assignees (in-bound) upon start of assignment
Monitor services provided to assignees by conducting surveys and following up with any issues
Coordinate day-to-day activities associated with the assignees, which include:
--monitoring and managing assignee home leaves and flight budgets
--processing paperwork and monitoring reimbursements for assignment related benefits
--processing invoices from home country
--coordinating and managing language lessons for assignee, spouse and children
--coordinating arrangements for! school enrollment for dependents
Process all third-party vendor invoices and ensure policy conformation.
Resolve individual issues by quickly responding to requests
Anticipate and address potential problems with appropriate solutions with a minimal turnaround time.
Coordinate the payroll process and deliver international assignment policy-related benefits to assignees.
Ensure compliance to the policy and communicate changes in a timely and effective way.
Monitor and process requests for reimbursements to ensure compliance to policy provisions.
Work closely with home and host country payroll contacts to ensure a smooth delivery of compensation
Work with outside vendor to ensure the compliance to tax laws by working closely with tax professionals both within and outside the company.
Work with outside vendor to ensure that payments processed for the assignees are appropriately recorded for tax co! mpliance.
Assist in the delivery of tax organizers to assignee! s, and facilitate meetings for assignees with tax consultants.
Assist in monitoring the return of the tax organizers for the successful completion of tax returns.
Assist in coordinating the tracking of tax refunds and crediting back the appropriate cost centers.
Work with immigration attorneys to ensure the compliance and adherence to immigration laws.
Assist in processing visa applications for all foreign assignees
Monitor the expiration of visas and manage and coordinate the visa extension process.
Work with payroll for the delivery of pay and benefits.
Qualifications
Required
:
3-5 years of international or related HR experience.
Bachelorâs Degree in Human Resources Management or related field or relevant work experience
Business partnership and influencing skills
Project management capability
Knowledge of U.S. immigration and tax laws as well a! s group global assignments policy
Sensitivity to worldwide cultural issues
Strong process improvement orientation
Vendor management capability
Budget management
Strong customer orientation
Approximately 30% travel required
Flexibility in work scheduling is required

Global HR competency/certification
Master's Degree in related field
