YOUR ASSIGNMENT
Your main tasks will include:Administration Responsibilities:
Manage the staff a! nd activities of the Administration department, including recr! uitment, coaching, mentoring, training, scheduling and performance management
Responsible for the facilitation, education, implementation, and review across all departments in administrative routines and working methods
Establish strong partnerships with matrix organizations to achieve the location’s business goals
Establish, implement, review and update plans to secure ongoing development of competence and succession within your function and location
Attract, develop, and inspire Co-workers through the Human Resources Idea
Work in partnership with the Human Resources Manager, Store Manager, and Operations Manager regarding sensitive issues, including but not limited to information security, lawsuits, wage and hour legislation, payroll processes and staff planning
Partner with Store Management Team to help analyze, create, or influence change if necessary; focus on making routines simple and translating the business ef! fects into simple language
Partner with managers to influence and support overall positive working environment to include actions to secure operational efficiency and a positive shopping experience for visitors
Ensure and support the departments in the implementation of new solutions, IT tools and their related working methods, or changes to existing ones by acting as the quality assurance representative within the store
Ensure that the Administration Team maintains a safe, clean and orderly store in “shape as new†and compliant with internal standards and external regulations
Monitor the performance of all departments and their way of working with administrative routines utilizing available tools (Commercial Review, IMonitor, and the ASR)
Assist departments to establish, implement and sustain routines to ensure Administrative Rules & Guidelines are achieved
Ensure all departments implement and adhere to new working ! methods/routines or changes to existing methods/routines in a way that ! reflects the IKEA Business Idea and our values
Responsible to ensure all written manuals and working routines are kept current and all updates are communicated
Coach departments either by way of discussion or education and assist in establishing any redefined routines
Ensure routines are fully implemented and reviewed on a regular basis according to prescribed frequency of audits
Responsible to ensure all areas of the store are in compliance with “4 Eyes Principle†and separation of duties
Maintain a current Power of Attorney and an authorization list that details IKEA co-workers who are authorized to engage in business transactions
Perform store leadership actions/activities, such as Duty Manager shifts, open and close functions, and team meetings as required
Staff Planning Responsibilities:
Responsible for the staff planning system through the forecasting of business metrics, labor requirements,! configuration and follow up to actual usage.
Responsible, in conjunction with other key partners (Operations Manager, HR Manager), to develop the store staff planning strategy with regards to improved staff planning. Develop with Operations Manager, the hours targets and staff costs in the budget and scenario plans, contribute to development of the store letter and yearly KPI commitments.
Responsible in conjunction with key partners to ensure all recruiting decisions reflect the business need in terms of hours commitment and availability in accordance with the staff planning strategy.
Responsible for labor configuration and analysis to achieve best solution to deliver practical scheduling solutions that meet the business needs.
Responsible for providing schedules for all departments a minimum of 3 weeks in advance; schedules must comply with respective employment laws and standards.
Responsible for ensuring schedules and actual ! hours used both fit within the agreed financial framework and to follow! agreed escalation process when not.
Responsible for meeting with all department managers on a frequent basis to secure the delivery of quality schedules that are on budget; providing specialist support and expertise.
Responsible for challenging management teams; steering, function and department, when financial framework may be jeopardized or best practices not utilized fully.
YOUR PROFILE
Your knowledge, skills and experience include:Knowledge/Experience:
2-3 years IKEA management experience including training programs or 3-5 years high volume, big box, multi-unit retail financial, operations, or administration management experience
Proven leadership abilities
Knowledge and understanding of Federal, State, and Local legislation regarding safety and risk management and wage and hour pay practices
Knowledge and understanding of the total business process including all retail applications used a! nd how they interact
Previous experience in working with external service providers, networking and negotiation skills
Proven experience in detecting efficiency opportunities and applying solutions to decrease costs without compromising IKEA values, Commercial Review standards, while maintaining compliance with all Federal, State, and Local legislation
Capabilities/Motivation:

Work! Location : Fast-paced, deadline driven, high volume retail store Physical/Mental Demands (Essential Functions): Ability to access and observe all areas of the property. Ability to handle multiple and changing priorities/deadlines and moderate stress. Ability to use the PC for extended periods during the shift. Ability to communicate with customers and co-workers and manage conflict.
Physical/Mental Demands (Non Essential Functions): Bending, stretching, reaching, lifting(up to 50 lbs (25 kg)) with ability to move products with and without motorized equipment
