We are currently looking to hire a Senior Administrative Assistant -- Legal to assist the Office of the General Counsel team in our Reston, VA office.
Job Summary:
The Sr. Administrative Assistant -- Legal provides administrative support to a group of attorneys who primarily specialize in litigation. This person will assist attorneys with management of open litigation matters. Provides support to attorneys in drafting, reviewing and managing various types of documents, and other sensitive legal projects. Participates as a team member and assists attorneys in various matters by playing a crucial role in the work required to support the business. This person will interact with many different business groups as well as other members of the Office of General Counsel. Administrative support includes oversigh! t of calendars, scheduling meetings, travel administration, expense reimbursement and budget reporting, answering phones, copying, filing (both electronic and physical files) and other duties as they may arise.
Responsibilities Include:
- Administrative/clerical duties.
- Scheduling appointments.
- Making travel arrangements.
- Answering phones for Legal Department and responding to callers.
- Composing, typing and routing routine correspondence.
- Read and route incoming and outgoing mail.
- Perform special projects when assigned by attorneys.
- Maintains legal files.
- Fields and responds to various litigation-related questions by co-workers.
- Prepares and updates PowerPoint presentations.
- Legal Admin Functions
- Assists in the management of open litigation matters.
- Manages the incoming service of process of lawsuits, subpoenas and other documents through ou! r registered agent (Corporation Service Company).
- Prepares cer! tificates, generates form documents and drafts of legal pleadings.
- Makes changes and edits to legal documents, generates revised drafts, inserts standard provisions.
- Assists in updating case activity in reports to management. Interacts with outside counsel as is appropriate.
- Prepares reports involving litigation data on a regular schedule as set out by the supervisor.
- Assists in monthly litigation reports to executive management and legal department.
- Runs reports using the Serengeti electronic billing system.
- Ad-Hoc Projects
- Assists supervisor and legal group by performing research as requested.
- Assists in managing an electronic and physical filing system of these matters.
- 5+ years total progressive experience as a legal administrative assistant in a law firm or in-house legal department or Bachelor's degree including at least 3 or more years of experience in li! tigation.
- Knowledge of basic legal principles and litigation terminology
- Expert knowledge of Microsoft Word, Excel, Outlook, and PowerPoint
- Excellent communication, interpersonal, organizational, and writing skills
- Sound judgment, strong work ethic, and commitment to ethical behavior
- Demonstrated ability to communicate effectively across all levels of the organization, including but not limited to the senior executives
- Ability to work independently and to be reliable, responsive and accountable
- Solutions-oriented team player with a commitment to client satisfaction
- Ability to organize, coordinate and motivate cross-functional teams
- Strong organizational skills, thorough attention to detail and ability to proofread
- Customer service orientation and ability to work with a team

- Ability to conduct research using Westlaw and PACER is a plus
